OFFICE SPECIALIST – AMG Plastic Surgery

AMG JOB DESCRIPTION Job Title: Office Specialist /Surgery and Procedure Scheduler General Summary of Duties: Provide patient-focused service related to each patient encounter.

Patient-focused tasks include greeting patients, scheduling appointments, validating information, and the collection of copayments.

Schedules patients for procedures and surgery and advises patients of surgical and financial preoperative requirements.

Coordinates and schedules appointments for surgeries and procedures at the clinic, ambulatory surgery center or hospital.

Major Responsibilities/Tasks: Office Specialist/Surgery and Procedure Scheduler 1.

Greets patients and visitors in a prompt, courteous, and helpful manner.

Establishes eye contact with customer 2.Checks patients in by completing the following tasks: * verification of patient demographics* confirmation of and updating insurance information* initiation of required changes as necessary* notifying clinical personnel of patient’s arrival * generates and logs fee slip* locating chart; obtains chart from Medical Records if necessary* verifies referral approval, documents date of appointment on referral* collects copayments (cash and credit card) 3.

Prepares for patients’ arrival and obtains chart 1-2 day(s) prior to appointment.

Schedules appointments * Follow-up* Consultations with other internal providers 5.

Sorts and delivers department mail * Pull medical records for audits and/or attorney requests.* Other duties as assigned specific to department needs* Scanning and indexing all medical records* Maintains work area and lobby in neat and orderly manner.

6.Interact with patients’, physicians, and other staff within the clinic and at outside facilities providing accurate, timely and responsive information.

7.Coordinate processes and timing as required to meet physician and facility requirements.

8.Coordinate arrangements for surgical assistants, special equipment, and surgical materials.

9.Schedule diagnostic therapy and other treatments as requested.

10.Obtain authorization for surgery and/or testing from patient’s insurance company.

11.Provide patient with generic preoperative information sheets and advise patients of preoperative surgical and financial requirements.

12.Submit patient clinical and financial information to facility assuring appropriate medical records release, if needed.

13.Answer and screen telephone calls in a courteous manner, and record messages for physician and other personnel.

14.Obtain accurate information from patients and ensure all registration forms are complete.

15.Collect patient pre-payments as directed daily and provide information to patients regarding unpaid balances prior to procedure or surgery.

16.File records in appropriate sections of patient electronic or paper charts and keep patient charts in proper order.

17.Review financial and clinical paperwork to assure completion before the scheduled procedure or surgery date.

18.Maintain files and patient records accurately and completely in a confidential manner.

EDUCATION: High school diploma or GED.

Performance Requirements: Knowledge: * Knowledge of clinic policies and procedures.

* Knowledge of medical terminology and insurance practices.

* Knowledge of computer programs and applications.

* Knowledge of grammar, spelling, and punctuation to type, review and edit reports, documentation, and correspondence.

* Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.

* Knowledge of CPT and ICD-9 coding.

Skills: * Skill in operating office equipment * Skill in handling paperwork/filing adequately.

* Skill in handling incoming phone calls and triaging appropriately.

* Skill in written and verbal communication.

* Skill in gathering, interpreting, and reporting insurance information.

* Skill in trouble-shooting insurance issues and resolving appropriately.

Abilities: * Ability to type 45 words per minute using word-processing software.

Able to learn/use other computer programs including Microsoft® Excel, e-mail, Internet, and Microsoft® PowerPoint.

* Ability to work effectively as a team member with physicians and other staff.

* Ability to sort and file materials correctly by alphabetic or numeric systems.

* Ability to interpret and understand insurance benefits and reimbursement.

* Ability to flexibly respond to changing demands.

* Ability to organize and prioritize tasks effectively.

* Ability to communicate clearly.

* Ability to work with little supervision.

* Ability to establish and maintain effective working relationships with patients, employees, and the public.

Equipment Operated: Office machinery including computers, fax, calculator, and photocopier.

Occasionally lift and carry files up to 20 pounds.

Work Environment: Work performed in office environment.

Involves frequent contact with staff and patients.

May require working under stressful conditions.

Mental/Physical Requirements: Manual dexterity for office machine operation including computer and calculator; stooping, bending to handle files and supplies, mobility to complete deliveries, or sitting for extended periods of time.

Stress can be triggered by multiple staff demands and deadlines.
