Clinic Administrator / Registered Nurse

Duties / Responsibilities

The Clinic Administrator / RN is a principal assistant to the Program Manager, responsible for the management of all non-clinical operations of medical and fitness services of the NASA Medical and Fitness Contract at NASA Glenn Research Center (GRC).

As a Registered Nurse, the Clinic Administrator will also be called upon to assist the medical team in providing patient care.

The Clinic Administrator directly manages, for the Program Manager, customer services, scheduling, medical and fitness record management, customer reporting, training support, certification management, and continuous quality improvement programs.

In matters of clinical medicine requirements, the Clinic Administrator defers to the Medical Director for direction and guidance.
Manage all clinic administrative operations, ensure contract compliance, and the capability of the clinic and fitness center to meet all administrative requirements.
Supervise administrative staff, as assigned.
Assist medical staff with scheduling daily workload activities, approval of timesheets as needed.
Primary interface to the customer for scheduling and assigning support requests to available resources.
Coordinate the management and electronic record keeping of medical and fitness records for all GRC MFS customers.
Support HSG finance in the development of budgets and analysis of costs for medical service functional areas and programs, assures appropriate fiscal management by tracking and reporting expenditures to HSG finance and accounting.
Track and approve invoices for the clinic and fitness center.
Manage government and HSG property assigned to the GRC MFS contract, to include Government property data deliverables, property inventory, consumables and bench stock management and materiel issue, and equipment life cycle management.
Implement methods and processes to evaluate and report on program outcomes and performance objectives that ensure compliance with regulations and applicable standards.
Oversee the time management and cost allocation to various customers of the GRC MFS clinic to ensure proper cost allocation of clinic work.

This includes the development of patient tracking mechanisms for services completed to support work analysis and invoicing.

Assist the Lead Nurse / Program Manager in the review for accuracy and approval of timecards.
With the Lead Nurse / Program Manager, evaluate program policies, procedures, and practices to ensure they are accomplishing functional area objectives.

Make recommendations, and implements approved changes, for quality and budget improvements.
Oversee staff training programs and maintain processes to verify required training, licensure, certifications, and continuing education of all GRC MFS medical staff.
Coordinate all required and ad hoc requests by the customer for reports and data deliverables.

Track and report the status of all deliverables and who has the responsibility for their on-time completion.
Support Safety programs as required e.g., injury/illness reports, OSHA 300 log database, safety meetings etc.

Serve as the contracts point of contact for NASA safety meetings and customer required actions.
Ensure compliance of staff to company policies and procedures.
Specific Knowledge/Certification Requirements
Licensed as a Registered Nurse in the State of Ohio.
Basic Life Support (BLS)
Proficient in using Cority and other Electronic Health Record System (EHRS).
Ability to assist with patient care as needed; Triage and assist with care of patients with varied medical issues typically seen in Urgent Care and Primary Care settings, as well as work-related injuries, complete vital signs, EKG’s, blood-draws, spirometry, and audiometric training preferred, start IV’s, use of an Electronic Health Record System.
Minimum Qualifications
At least 3 years-experience in healthcare administration in an occupational health clinic or outpatient setting preferred.
5+ years-experience as a RN in an Emergency Department, Urgent Care or Primary Care.

Knowledge of administrative requirements required to support occupational health programs.
Ability to work within defined time requirements and meeting deadlines.
Demonstrate strong organizational interpersonal skills.
Demonstrated ability to create written reports, PowerPoint presentations, and Excel spreadsheets.
Ability to determine appropriate course of action in complex administrative situations.
Ability to work with teams, as well as independently.
Ability to manage multiple and simultaneous responsibilities and to prioritize scheduling of work.
Ability to handle difficult situations involving patients, physicians, or others in a professional manner.
Proficient in oral and written communication (e.g., writing reports, e-mail correspondence, oral presentations, compilation of data, data manipulation, basic computer skills utilizing Microsoft Office and Internet).
Knowledge and application of laws and regulations governing health information (i.e., Privacy Act of 1974, HIPAA, NPR 1800.1, OSHA VPP, ISO 9000, JCAHO etc.).
Subject to drug testing (chemical substances) – Drug Free Workplace Act 1988.
Must be fully vaccinated.

Advanced Cardiac Life Support (ACLS)
