The Receptionist / Front Desk Administrator position provides the support necessary to ensure accounting team can focus on delivering quality accounting and tax services.

The ideal candidate would be dependable, hard-working, organized, detailed oriented, self-motivated individual with a great positive attitude.

The candidate must have excellent communication skills and learn systems and applications in a fast-paced office.

Must be able to anticipate needs, discern work priorities, meet deadlines with little supervision and manage through ambiguity.

Knowledge and working experience in Accounting, Business Administration, Finance or Law office is a bonus but not required.

Job Requirements: Screen incoming calls, determine priority matters and follow establish procedures to address clients versus prospect calls Notate carefully and clearly phone messages and email to corresponding recipient Greet visiting clients and prospects with a smile, offer refreshments while they wait attended by their accountant Collecting detail information from prospects leads following define service pipeline questionnaire Follow up with prospect client leads with various touch points as defined in the firm’s nurturing system Arrange appointments with clients and prospects based on their service needs Maintain client confidential files and documents following firm’s procedures to receive, scan, file, and store information Handle highly confidential and sensitive information with diplomacy and discretion Maintain detailed records of clients and prospects contact information and service profile in business databases Print and assemble tax documents and other service deliverables Create invoices and collect client’s payments Performing local errands on an as needed basis such as trips to the bank as well as post office (your own car is required) Pickup and distribute mail and research returned mail Perform start of days duties such as making coffee, listening to voice mails, checking emails, faxes, and portal document submissions Perform all end-of-day duties such as providing status of any pending tasks, cleaning and organizing common areas, turning off coffee machines in the kitchen Inventory office supplies and complete supplies orders on a weekly basis Maintain clean and organized conference room, reception area, supply closets and kitchen area.

Provide administrative support to multiple members of accounting office and business clients Organize and expedite the flow of work, proactively keeping track of deadlines, pending documentation and transaction status and relay information to concerning parties Prepare a variety of documents for external or internal purposes, including forms, correspondence, and spreadsheets Develop and maintain effective and pleasant relationships with internal and external parties, stakeholders, and clients through verbal and written communications Maintain knowledge of company processes, policies, and operations Qualifications Minimum of two years’ experience as an Administrative Assistant Ability to communicate effectively and professionally Proficiency with Microsoft Office, specifically Word, Excel and Outlook Strong computer and internet research skills, Excellent interpersonal and customer service skills Sensitivity and discretion with confidential matters Bilingual fluent in English and Spanish is highly desirable Flexibility to work Saturdays during busy season Pursuing a degree in Business Administration, Finance, Accounting, Management Information Systems, Public Relations or Marketing is desirable Employment background check and references may be required.
