Payroll Accountant

Purpose of Classification: The purpose of this classification is to enter employee payroll and time and attendance information into agency Human Resource Information System (HRIS).

Enters and/or corrects approved time detail information received from management into agency timekeeping system and transfers data form Payroll module into agency accounting system Essential Functions: The following duties are normal for this position.

The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification.

Other duties may be required and assigned.

Maintains and updates multiple databases to include payroll, accounting, benefits and time keeping system: calculates and inputs manual checks and reversals; sets up for new cycle upon completion of payroll, runs payroll reports including; employee changes, manual check summary and salaried employees with hours.

Downloads general ledger information from the payroll module: including reconciling payroll and updating leave balances from the accounting system to agree with the payroll system; prepares payroll journal entries; establishes and maintains employee accruals; researches and resolves issues, and performs scheduled activities in a timely and accurate manner.

Provides detailed reports to supervisors: runs reports and prepares purchase requisitions for payment of withholdings; reconciles billing (i.e.

AFLAC) for employee paid insurance benefits; completes multiple work site quarterly reporting, verification of employment and Workers Compensation reporting as well as other federal, state and local mandated reporting.

Pays employees via batch process; verifies and creates payroll files, submits file for processing, views/ previews, and/or corrects any garnishment withholding amounts, and accepts or rejects payroll; posts changes in pay and other miscellaneous charges to employee records within the payroll module.

Reviews and records a considerable amount of information via personal computer and/or other automated systems and related software; processes voluntary and involuntary court or government ordered deductions such as levies and garnishments; prepares materials for external auditors, state and federal agencies; enters employee payroll and time and attendance information in agency HRIS: enters and/or corrects approved time detail information received from management into agency timekeeping system; transfers data from Payroll module into agency accounting system.

Attends and participates in meetings, trainings, conferences, seminars and workshops for professional development and to obtain best practices to enable improving job knowledge ability and skills.

Additional Functions: Performs other related duties as required.

Job Requirements: Associates Degree in Business Administration, Accounting or Finance or a related field required; supplemented by two years of work experience in Payroll Administration preferably with a large non-profit organization or related field; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
