Core Description: Provides administrative support to one or more accounting functions, including

accounts payable and credit card transaction tracking. Records, verifies, and posts payments sent by the organization. Ensures transactions are recorded promptly and accurately in accordance with internal accounting policies. Reconciles invoices with accounts payable ledger and prepares reports as required.

Highlighted Duties:

  • Keeping track of all payments and expenditures, including payroll, purchase orders, invoices, statements, etc.
  • Reconciling processed work by verifying entries and comparing system reports to balances.
  • Maintaining historical records.
  • Paying vendors by scheduling checks and ensuring bill payment is made; generally responding to all vendor inquiries regarding finance.
  • Preparing analyses of accounts and producing monthly reports.
  • Continuing to improve the payment process.
  • Perform office duties when needed such as answering the phone.
  • Assist with the monthly and annual financial closing process.
  • Other projects and duties as assigned by management.

Requirements:

Education and Experience Requirements:

  • Education: High School Diploma or equivalent is required, with an Associate’s Degree in Accounting preferred, or an equivalent amount of education and experience
  • Experience: 2+ years of experience in a service firm, preferably one that produces billable project work (i.e. engineering, architectural, construction).
  • Strong attention to detail.
  • Prioritizing, time management, and organizational skills to meet business needs and strict deadlines.
  • Demonstrate good judgment and problem-solving skills.
  • Professionalism; strong oral and written communication skills will be beneficial in situations that require customer interaction.
  • Ability to collaborate with a multi-department team.
  • Computer skills, particularly in QuickBooks and MS Office; experience manipulating worksheet files, spreadsheets, and databases, including the use of various customer software programs.
  • Must have strong ethics; employees have an ethical duty not to disclose confidential information gleaned from business transactions and to protect confidential relationships between Sigma and its customers, employees, vendors, and suppliers.
  • Available during the core work hours of Monday-Friday 8:00 a.m. to 5:00 p.m. Eastern Time. Although not common, occasional evening or weekend work may be required as job duties demand.
  • Primarily on-site work to provide in-person employee and team support, with occasional hybrid/remote work options possible
  • Dependable transportation and valid driver’s license and insurance.
  • Able to pass a background check/drug test/driving record check.
  • Authorized to work in the United States.

Physical Requirements:

  • Must be able to endure frequent, lengthy periods of sedentary work and sit for prolonged periods of time at a desk.
  • Must be able to utilize a computer keyboard, computer monitor, and telephone for prolonged periods of time.
  • Must have the physical ability to perform activities such as preparing and analyzing data and figures, transcribing notes, and viewing a computer terminal; these activities require close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Must have the physical ability to express or exchange ideas by means of the spoken word and convey detailed or important spoken instructions to other workers accurately, often in a group setting.
  • Must have the ability to receive detailed information through oral and written communication.
